Meeting Etiquette
Online meetings are gradually becoming the "new normal" and it is therefore important to establish guidelines to ensure effective meetings across the institution.
Platform for Online Meetings
Microsoft Teams for all internal meetings in Nigeria and within the Group. This includes meetings involving expternal parties, but convened by the Bank.
Etiquette for Attendance
A. Preparing for a meeting
Find a space that is quiet and secluded to ensure confidentiality of discussions
B. Show up on time
Dial into meetings 5 minutes before the start time
C. Mute. Mute. Mute. And check you have muted! Put yourself on mute as soon as you dial in
D. Opening Prayer/Vision Statement Recital
The Chairperson to open the meeting and call on an attendee to say the opening prayer and share "Our Vision". Please note that other participants' microphones should remain muted during this
Vision Recital.
E. Use of Video
For 5 minutes upon commencement of every meeting in the Bank, all attendees are mandated to enable their videos after which they can choose to disable them
The Chairperson keeps his/her video on throughout the meeting
Any attendee who contributes during the meeting is expected to enable both video and audio-feed when making their contribution
F. Recording of meetings
Meetings in the Bank may not be recorded, unless with the express permission of the Chairperson and under no circumstances recorded on a personal device
G. Guests
For third party guests, announce a guest is joining the meeting, for confidentiality reasons
If a guest is unrecognised, ask them to identify themselves or remove them from the meeting to ensure confidentiality
H. Asking Questions
If you need to ask a question during a presentation, use the 'raise hand' feature or the chat function (use the @ symbol to indicate who you are addressing the question to). Preferably, you
can ask your question at the end
